BBN Event Suite
The missing back office for promoters and booking teams
Pipeline, offers, contracts, invoices, guest lists and reporting: one suite carries a show from the first inquiry to the final settlement.
Guest lists and the door Live today
Scan a QR code at the door, the capacity counter updates, and the list shows who is inside. Artists and partners add their own guest spots within their quota; you approve each one with a tap. The BookMeTender sync is live today: export your guest lists as CSV, import them into the suite, and review a preview of every entry, what will be added and what will be updated, before anything is written. Confirm the import and the door works from the new list.
- QR check-in with a live capacity counter
- Guest spots within quotas, one-tap approval
- BookMeTender CSV import with preview

One pipeline from first contact to confirmed show
Embed the booking-request form on your website and every inquiry arrives structured in one pipeline. Requests move through four stages: new, in negotiation, hold, confirmed. You see who is waiting on you, what came in this week, and which conversations need a reply. The whole team works from the same pipeline.
- Embeddable booking-request form for your website
- Four stages: new, negotiation, hold, confirmed
- One shared pipeline for the whole team
Holds, confirms and on-sale dates on one calendar
Holds, confirms, announce and on-sale dates share one calendar. Before you confirm, you see clashes: a double-booked artist, an overlapping hold, an announce on another show's on-sale day. Filter by artist, venue or city.
And everything else
Branded offers with a built-in deal calculator
Send branded offer sheets with the deal spelled out: flat guarantee, versus deal, door split or percentage, calculated by the built-in deal calculator. The recipient confirms with one click. You see when an offer is opened, so you know when to follow up. Every offer keeps its history of versions, terms and confirmations, and a closed deal feeds the contract and the settlement.
- Deal calculator for guarantees, versus deals and splits
- One-click confirmation by the recipient
- See when an offer is opened
From confirmed offer to signed contract in minutes
Turn a confirmed offer into a booking contract with one click; terms, fees and rider references carry over. Both sides sign electronically on the signature spine that powers BBN label contracts, so every signature is tracked, time-stamped and stored with the show. Once the contract is signed, payment links go out and follow-up tasks land on the schedule.
Per-show invoicing built for EU tax reality
Create invoices per show with the EU details covered: VAT number validation, withholding tax where it applies, and amounts in multiple currencies. The suite is ready for PEPPOL e-invoicing as requirements roll out across Europe. Each invoice links back to its offer and contract, so the numbers on paper match the deal you closed.
- VAT number validation
- Withholding tax handling
- Multi-currency invoices
- Ready for PEPPOL e-invoicing
Collect the deposit and the balance per show
When a contract is signed, payment links for the deposit and the balance go out. Reminders follow automatically. Open the show and you see what has been paid, what is due and when. Payments land in your BBN wallet, the same wallet that pays out releases if you run your label on BBN.
Settlements: offer vs. actuals, line by line
After the show, compare the offer against the actuals: ticket counts, bar splits, costs. Co-promotion splits follow the agreed shares, and every show closes with a profit & loss statement. You see whether the night made money, who gets what, and what to budget differently next time.
Type a flight number, get the itinerary
Type a flight number and departure, arrival, terminal and times appear on the itinerary. Add hotels, ground transport and day sheets, then share with each person the part they need. Advancing happens in the same place: one structured request collects tech and hospitality details from artists and venues, instead of a forty-email thread, and everyone works from the current version.
Shift planning for door and production staff
Plan door and production shifts per show and send them out; staff accept or decline from their phones. You see open shifts at a glance and fill gaps before show day. When plans change, you reassign in seconds and everyone affected sees the update. Time tracking runs alongside, with hours recorded on the show, ready for payroll and the settlement.
Booking history for every promoter, venue and agent
Every promoter, venue and agent has a profile with the full booking history of shows, deals and conversations. Tags sort your network by city, capacity, genre or whatever your booking logic needs. When an inquiry comes in, open the profile and read the last three deals before you reply.
One press kit per act, built from live data
Each act on your roster gets a press kit built from your live data: bio, photos, links and recent shows. Change a photo and the kit shows it. Kits carry your agency's branding and embed on any website. One link replaces the PDF export.
Confirm a show. Your site updates.
Embeddable widgets put confirmed shows on your website; when a date changes, every embed changes with it. A JSON event feed serves the same data to your newsletter tool or anything else you build, so site, newsletter and socials read from one source.
Forecast vs. actuals, commissions and break-even
Reporting shows forecast against actuals across your calendar, commissions broken down by artist and agent, and break-even per event. You see which artists carry the quarter, which rooms work for which capacity, and where a show stands against its budget before doors open. Every number traces back to an offer, a contract or a settlement. When someone asks where a figure comes from, you click through to the source document.
A signed contract sets the schedule
Sign the contract and the follow-up tasks appear: announce, on-sale, advancing, settlement, each with the right lead time. If the show date moves, every task moves with it. Two-way calendar sync for iCal and Google keeps your personal calendar current, and email integration files each conversation with its show. You set the rules once; after that, every show gets its checklist.
- Tasks scheduled when the contract is signed
- Tasks move with the show date
- Two-way iCal/Google sync plus email integration
Frequently asked questions
What is the BBN Event Suite?
The BBN Event Suite is the back office for promoters and booking teams: one platform carries a show from the first inquiry to the final settlement. It covers the booking pipeline, offers, contracts, invoicing, payments, itineraries, guest lists, staff shifts and reporting. BBN Music GmbH builds it, on the same account system as the BBN Label Suite.
Who is the BBN Event Suite for?
Promoters, clubs, booking agencies and artist teams. The suite fits if you book shows, program a venue, manage a roster of live acts or handle an artist's bookings yourself. It works for a single promoter and for a team sharing one pipeline, one calendar and one set of contracts.
How does the BookMeTender sync work?
Export your guest lists from BookMeTender as CSV and import them into the suite. The import shows a full preview of every entry first, and you confirm before anything changes. Guest quotas are tier-based: each artist or partner gets the number of spots their tier allows.
Does the Event Suite work with my BBN label account?
Yes. One BBN account covers releases and live. The wallet, the roster and the signature spine are shared: payouts from shows and from streaming land in the same wallet, the artists on your label roster are the same artists you book, and booking contracts are signed on the same infrastructure as label contracts.
How do contracts and invoices work in the Event Suite?
Contracts are generated from the confirmed offer and signed electronically by both sides; each signature is tracked, time-stamped and stored with the show. Invoices are created per show with VAT number validation, withholding tax where it applies, and multi-currency support, and the suite is ready for PEPPOL e-invoicing. A signed contract also sends out the payment links for deposit and balance.
How do I get access to the BBN Event Suite?
Write to support@bbn.music and tell us three things: how many shows you run, roster or room, and what you use today. We set you up and walk you through importing your existing data, including guest lists from BookMeTender.
Which languages does the platform support?
The platform runs in English and German: interface, documents and support. Tax features are built EU-first, with VAT number validation, withholding tax handling, multi-currency invoices and PEPPOL e-invoicing readiness, so booking across European borders works without a stack of workarounds.
