Every booking, from inquiry to contract
Inquiries come in through your request form, an imported email or a manual entry and land as bookings with fee, deal type and set times. Each booking moves from inquiry through negotiation to contracted, or ends as cancelled or declined. You set who the ball is with and the next action date; when that date comes, the assignee gets a follow-up task. Before you save a date, the suite checks the artist for overlapping shows on the same day.
- Flat, versus and door deals with fee and booking fee per artist
- Follow-up tasks from the next action date
- Conflict check for every artist before you save
Contracts the promoter signs online
Build the contract from your clause library and templates in English or German. Placeholders fill in artist, date, venue and fee from the booking. Send it as a link: the promoter reads it, types their name and accepts. The suite stores name, time, IP address and a hash of the signed text, then you countersign and both sides get the signed copy.
- Clause library and templates in English and German
- Signing by name and confirmation, with a content hash
- Countersignature by the agency
Invoices and reminders from the booking
Draft the artist fee or your booking fee straight from the booking. Issuing assigns the next number in your sequence and locks the invoice. Reverse charge and small-business exemption print with the right note. Reminders go out at three levels, on day 3, 14 and 28 after the due date, automatically or when you send them.
- Artist fee and booking fee invoices per booking
- Running number with your own prefix
- Three reminder levels, automatic or manual
And everything else
Advance every show
Load-in, soundcheck, doors, curfew, on-site contact, parking, wifi and catering live on the booking. Ten checks show what is still open, from signed contract and riders to travel and hotel per artist.
- Advance sheet the promoter fills in
- Ten checks per booking
- Travel and hotel skipped for local artists
Tours and itineraries
Group bookings into a tour and add flights, trains, hotels, transfers and cars with status, cost and who pays. The day-by-day itinerary goes to the artist and crew as a link.
- Travel items with cost and payer
- Itinerary per booking and per tour
- Shareable link, no login needed
Your roster in one place
Each artist carries a default fee, their booking-fee percentage, tech and hospitality riders, billing details and documents like stage plots and press kits. The booking history shows every show and fee.
A portal for the promoter
Every booking has a link for the promoter. They see the show, fill in the advance, update their contact, upload and download documents and message your team. Replies by email land in the same thread.
Promoters and venues
Contacts with VAT ID, address, tags and notes, plus every booking you have done with them.
Request form and email import
Your agency gets a public request page where promoters pick an artist from your roster. Drop in an offer email and the suite reads it, matches it to an existing booking or opens a new inquiry.
Calendar and tasks
Month and agenda views across the roster, an ICS feed for any calendar app, and tasks with assignees. An option date that passes becomes a task, so no hold lapses unseen.
Finance and exports
The year view splits artist fees and booking fees by month and by artist, next to invoiced, paid and overdue amounts. Export bookings, invoices and an accounting journal as CSV.
Roles for team and artists
Managers run the agency, bookers handle deals and money, the team handles logistics and tasks. Artists log in read-only and see their own shows. Fees stay hidden from anyone below booker.
On the roadmap
Google Calendar sync
Bookings pushed into a Google calendar per agency.
Cancellation invoices
Correct an issued invoice with a proper cancellation invoice instead of voiding it.
DATEV export and e-invoices
A DATEV-ready export for your tax advisor and invoices as XRechnung or ZUGFeRD.
Frequently asked questions
What is the BBN Agency Suite?
The BBN Agency Suite is software for booking agencies. It covers the roster, bookings with conflict checks, contracts the promoter signs online, artist fee and booking fee invoices with reminders, tours with itineraries, a promoter portal and finance reports. BBN Music GmbH builds it on the same account system as the BBN Label Suite and the BBN Event Suite.
How is it different from the BBN Event Suite?
The Agency Suite is for the side that represents artists and sells their shows. The Event Suite is for promoters and venues that buy shows and run the night. Both are separate tools; you can use one or both with the same BBN account.
Can my artists see their shows?
Yes. Invite an artist with the artist role: they log in and see their own shows and itineraries, read-only. Fees and booking fees stay hidden from them.
Which languages does the suite support?
Contracts, invoices, emails and the pages promoters and artists open are in English or German, set per agency. The workspace itself is in English.
Where is booking data stored?
On servers in the European Union. BBN Music GmbH builds the Agency Suite in Germany and processes personal data under the GDPR.
How do I get access to the BBN Agency Suite?
Apply on bbn.music with your agency name, country and a few lines about your roster. Our team reviews it and sets up your workspace. Questions go to support@bbn.music.
